Recording work time

One of the core purposes of oliwork is of course the recording and management of employee work time. That is discussed in this section. You’ll get a look on how to record work time and define vacation or sick days. Also, you’ll see how to manually add or edit work time data. This section also includes how holidays, sick days and vacation days are properly accounted. This can be done with the work schedule function.

Live recording

Recording work time is really easy. When starting your work day just log into your account, go to the menu entry “Time Record” and click on “Start Working”. As soon as the “State” changes from “Not Working” to “Working” the start time is set. You can then log out and close the app again, if you want to. If the “State” is stuck on “Pending…” for more than a few seconds, there are usually two reasons for this: either you have no connection to the internet / our servers or your organization’s account is inactive.

When you finished working just log into your account again, go to “Time Record” and click on “Stop Working”. Once again you should wait until the “State” changed to “Not Working”, then you can log out again.

While the work time recording is active you can see the date and time you started working at below the buttons to start and stop working.

Editing work time data

To create, edit or delete a work time entry, click on the menu entry “Calendar”. For creating a work time entry, select the correct day in the calendar. Then click on the link “Create new Timerecord” right below the calendar and enter the start- and end-time. If you want to edit or delete an entry, select the day of the entry in the calendar. Then you will see the entries of the day below the calendar. At the right side of each entry you’ll find the two links “Edit” and “Delete” that lead to the corresponding subpages.

Work schedule

To correctly account for holidays, vacation and sickdays (absence days) in the time report and time account, you need to define work schedules. Work schedules consist of (1) a start date that marks the first day from which they are valid and (2) the work times of the user for every day of the week. Oliwork needs work schedules to calculate your time budget: It will add a day from the current schedule to your time budget if you are absent. Your current schedule is the one with the latest start date before the date of today. You can see the outcome in the time reports and the time account.

To create a work schedule, click the menu entry “Work schedule” and then the link “Create new Work schedule” at the top of the page. Next, you see a dialog to create a work schedule. First, set a start date from which on the work schedule will be valid.

Next, enter the work time for every work day. The work time determines how many hours of work will be accounted for if you are absent on a weekday. After filling out the work schedule click “Save” to save the schedule.

You can edit or delete a work schedule by clicking the links in the work schedule overview.

Sick and Vacation days

To create, edit or delete entries for vacation or sick days, click on the menu entry “Calendar”. To make an entry, select the day for the beginning of your sick or vacation time. Then click “Create new Sickdays” or “Create new Vacationtime”. Enter the last day of time frame in the following dialog and click on “Save”.

To edit or delete a vacation or sick day entry, select the day in the calendar. Then choose the entry from the list below the calendar. On the right side there are links to edit and delete the entry.

Holidays

Holidays show up in the calendar as soon as they are set in the “Settings” menu. If they are activated in the settings menu they will also automatically be accounted for in the time report and time account. That is of course only if your work schedules are set up correctly.
